Cold Email
COLD EMAIL FOLLOW UP TEMPLATES

In short: Most replies come from the follow-up, not the first email. Send three short follow-ups over two weeks, on day 3, day 7 and day 14. Reply in the same thread. Add one new thing each time. Then send a breakup email on day 21 and stop. Templates are below.
People search “cold email follow up” about 14,800 times a month in the US. That’s more than search for “cold email” itself. Everybody sends the first email. Almost nobody follows up right.
Here’s how to follow up cold email the right way: when to send each one, what to say, and the exact words.
Why the follow-up matters more than the first email
Your first email lands on a busy day. They read it on their phone between two other things. They mean to answer. Then they forget.
The follow-up is the reminder. It puts you back on top of the inbox. That’s why most replies show up on the second, third or fourth email. Quit after one and you leave most of your replies on the table.
New to cold email? Start with cold email for contractors. It covers who to email and how to set up your inboxes. This post picks up after the first email goes out.
The follow-up schedule
Here’s the schedule we use. Day 0 is the first email.
| Day | Its job | |
|---|---|---|
| 0 | First email | One reason you wrote. One question. |
| 3 | Follow-up 1 | A nudge. Two lines. |
| 7 | Follow-up 2 | One new thing: a job, a number, a quick tip. |
| 14 | Follow-up 3 | A different angle or a smaller ask. |
| 21 | Breakup email | You’ll stop emailing. The door stays open. |
Stop the second someone replies. A reply is a lead. Answer it the same day.
The rules for every cold email follow up
- Reply in the same thread. Don’t start a new email. They see your first email right under the follow-up.
- Keep it shorter than the first email. Two to four lines. If they can read it in five seconds, they will.
- Add one new thing. A job you just did nearby. A photo. A number. Never just “bumping this up.”
- Ask one easy question. Yes or no is best. “Worth a quote on file?” beats “When can we meet?”
- Never guilt them. No “I’ve emailed you three times.” They don’t owe you a reply.
- Send from a real person. A name, not “The Sales Team.”
Cold email follow up templates
Here’s every follow up email template we use. Swap in your own details. These pick up after a first email to a property manager about commercial cleaning.
Follow-up 1 (day 3): the nudge
Hi Laura,
Floating this back up. Worth having a cleaning quote on file for the Mesa Street building?
Mike
That’s it. Short on purpose.
Follow-up 2 (day 7): one new thing
Hi Laura,
We just took over cleaning for an office building two blocks from yours on Mesa. Their last cleaner kept missing Fridays.
Happy to walk your building and get you a number. Want me to?
Mike
The new thing is the nearby job. It proves you’re real and close.
Follow-up 3 (day 14): a different angle
Hi Laura,
Different question. Who handles cleaning for your other buildings? If it’s not you, could you point me the right way?
Mike
If you have the wrong person, this gets you the right one.
The breakup email (day 21)
Hi Laura,
I’ll stop emailing about this. If your cleaner ever misses a night and you need someone fast, just reply to this email. It’ll come straight to me.
Mike
The breakup email gets replies because it takes the pressure off. Some people answer just to say “thanks, keep me in mind.” That’s a lead for later.
Follow up email subject lines
Don’t write new ones. Reply in the same thread, so the subject line stays the same with “Re:” in front. That looks like a real back-and-forth, and it is.
If you must start a new email, keep the subject plain and about them:
- Cleaning at the Mesa Street building
- Quote for your Mesa Street office
- Quick question about your buildings
No tricks. No “Re:” on an email you never sent. No ALL CAPS.
Follow up email after no response
Same plan, different case. You talked once, maybe got a call or a meeting, then nothing. Here’s what to send:
Hi Laura,
Following up on our talk last week about cleaning for Mesa Street. Still want that walk-through? I have Tuesday or Thursday open.
Mike
Give two times. It’s easier to pick one than to think of one.
Follow up email after quote
A follow up email after a quote prints money for contractors. You sent a quote. They went quiet. Most owners never follow up and lose the job to whoever did.
Send this two days after the quote:
Hi Laura,
Did the quote for Mesa Street make sense? Happy to walk through any line on it.
We can start the first of the month if you give the OK by Friday.
Mike
Then follow the same schedule. Day 5, day 10, then the breakup email.
Follow-up email after cold call
You called. You talked for two minutes. They said “send me something.” Send it the same day:
Hi Laura,
Thanks for taking my call today. Here’s what I mentioned: we clean four office buildings on the west side, nights and weekends, so tenants never see us.
Want me to walk Mesa Street this week for a quote?
Mike
Then follow up on day 3 and day 7 like any other email.
Sales follow up email mistakes
- “Just checking in.” Checking in on what? Add something new or don’t send it.
- Writing a longer email each time. Each follow-up should get shorter.
- Sending every day. Space them out. Three days at least.
- Following up forever. Four or five emails, then the breakup email, then stop.
- Answering a reply the next day. Answer the same day. The fastest answer wins. More on that in lead response time.
Want us to run it?
You can do all of this yourself. The hard part is doing it every day, for every lead, without missing one.
As a cold email agency, we do the whole job. We build the list from Snitch, set up the inboxes, write the first email and every follow-up, and stop the sequence the second someone replies. The replies come straight to you. That’s how Wicked Logistics landed a $1.2 million contract.
