BEST ANSWERING SERVICE FOR SMALL BUSINESS: HOW TO PICK THE RIGHT ONE

A small shop owner handing a customer a bag while a call rings unanswered on the counter, the moment an answering service is for

In short: The best answering service for a small business is the one that turns callers into booked appointments, not messages. There are four kinds: basic live answering, virtual receptionists, AI receptionists, and missed-call text back. Pick based on what your callers need, what a 2 AM call costs, and whether it books on your calendar.

Every small business owner I talk to has the same problem. You can’t be on the phone and do the work at the same time. A haircut, a job site, a client meeting, a delivery. The phone rings, you can’t get to it, and that caller tries the next business on the list.

An answering service fixes that. But “answering service” covers a lot of different things, and the cheapest one isn’t always the cheapest once you count the jobs it doesn’t book.

The four kinds of answering services

1. Basic live answering. A person at a call center picks up, takes the caller’s name, number and reason, and sends you a message. Some can page you for emergencies.

2. Virtual receptionist. A trained person who answers as your business, books appointments, answers common questions, and transfers calls. More useful, and usually more expensive.

3. AI receptionist. Software that answers every call with your business name, knows your services, hours and area, and books the appointment on your calendar while the caller is still on the line. It picks up every call at once, day and night.

4. Missed-call text back. Not really answering. When you miss a call, the caller gets a text within a minute. It’s a backup, not a replacement. Here’s what to text when you miss a call.

What each one costs

Most live answering services charge 65 cents to $1.75 a minute, or about $1.75 to $4 a call. Monthly plans run $250 to $1,000 or more. Nights, weekends and holidays usually cost extra.

Virtual receptionists sit at the higher end of that, because they do more per call.

Our AI receptionist is $297 a month plus 6 cents a minute. Same price at 2 AM as 2 PM. I break down the math in what an AI receptionist costs.

What to look for

Here’s what matters, in order.

  1. Does it book, or take a message? A message isn’t a booked job. By the time you call back, a lot of people already called someone else.
  2. Does it answer after hours? A lot of calls come in when you’re closed. Find out exactly what nights, weekends and holidays cost.
  3. What happens when five people call at once? Some services put callers on hold. People hang up on hold.
  4. Does it sound like your business? It should answer with your name and know your services, prices and area.
  5. Can it send urgent calls to you? An angry customer, a big job, or someone who just wants a person should reach you.
  6. Can you listen to the calls? You can’t fix what you can’t hear.
  7. Do you keep your number? You should be able to forward your calls without changing anything for your customers.

Which kind fits your business

A basic live service fits if your callers mostly need a message passed along and you can call back fast.

A virtual receptionist fits if your calls are complicated, every caller needs a person, and the budget is there.

An AI receptionist fits if most calls are about booking, hours, prices and where you work, and you miss calls when you’re busy or closed. Think trades, salons, med spas, auto shops, and any small business without a front desk, or with one that goes home at 5.

Keep a person on the phone if most of your callers are older and won’t talk to a machine. That’s a real reason, and it’s fine.

The mistake most owners make

They pick on price per minute. Then they find out the service takes a message, the message sits until morning, and the caller already booked somewhere else.

Ask one question before anything else: “When someone calls, do they end up on my calendar?” If the answer is no, you’re paying for a notepad.

Questions to ask before you sign

  • Does it book on my calendar, or take a message?
  • What does a call cost at 2 AM? On a holiday?
  • What happens when several people call at once?
  • Can it send urgent calls to my cell?
  • Can I listen to every call?
  • Is there a setup fee? What does it cost to change the script?
  • Do I keep my phone number?
