WHAT TO TEXT WHEN YOU MISS A CUSTOMER'S CALL, WITH EXAMPLES

In short: When you miss a customer’s call, text them back within a minute. Say who you are, say sorry you missed them, and ask what they need. Keep it short and personal. Then set it up to send automatically, so it goes out even when you’re on a roof or under a sink.
Here’s how it usually goes. You’re on a job. Your phone rings. You can’t pick up. By the time you call back an hour later, they’ve already booked somebody else.
That’s not a marketing problem. You already paid to get that call. It’s a follow-up problem, and it’s one of the easiest ones to fix.
Why a text beats a voicemail
Think about what the caller does when you don’t answer. They don’t sit around waiting. They go back to Google and call the next name on the list.
A voicemail asks them to wait. A text starts a conversation. They can reply from wherever they are, even if they’re at work and can’t talk.
And if you’re paying for ads, every missed call is money you already spent. Google’s own ad data put the average click for “plumber el paso” at about $21 in October 2026. Miss that call and don’t follow up, and that money’s gone.
We wrote more about this in why lead response time matters so much.
What to text back, word for word
Here are a few you can copy. Change the names and make them sound like you.
The basic one:
Hey, this is Brandon with Dead River. Sorry I missed your call, I’m on a job right now. What can I help you with?
For home services:
Hi, this is [your name] with [your company]. Sorry we missed you! Are you dealing with a leak, a clog, or something else? Text me back and I’ll get you taken care of.
After hours:
Hey, this is Brandon with Dead River. We’re closed for the night, but I got your call. What do you need help with? I’ll get back to you first thing in the morning.
For appointments (salons, med spas, dentists):
Hi, this is the front desk at [your business]. Sorry we missed your call! Were you looking to book an appointment? Reply with a day that works and we’ll get you in.
If they don’t reply:
Hey, just checking in. Did you still need help with that? If you already got it taken care of, no worries.
Notice what they all have in common. Short. A real name. One question. No links, no sales pitch, no “Reply STOP to unsubscribe” wall of text in the first message.
What not to send
- “We missed your call. Please call us back.” That just puts the work back on them.
- A link to your website. They already found you. They want an answer.
- A promotion or coupon. They called about a problem. Answer the problem.
- A wall of text. It’s a text, not an email.
- Nothing at all. This is the most common one, and it’s the most expensive.
When to send it
Right away. Within a minute is ideal.
The person who just called you is probably calling the next business while they wait. If your text shows up before they get through to somebody else, you’re still in the running.
That’s why this should be automatic. You can’t text everybody back by hand while you’re working.
How to set it up so it’s automatic
Most business phone systems and CRMs have a feature called missed call text back. When a call goes unanswered, it sends your text to the caller automatically. GoHighLevel has it, and so do most of the business phone apps.
Here’s what a good setup looks like:
- Your business number is in a system that can text. Not your personal cell.
- The missed call text goes out automatically, day and night.
- Replies come to one place where you or your office can see them and answer.
- Someone actually answers the replies, fast. The auto text starts the conversation. A real person finishes it.
- Every lead gets tracked, so you can see how many missed calls turned into booked jobs.
That last part matters. If you can’t see the leads, you can’t tell what’s working.
A few rules to stay on the right side
Texting back someone who just called you about their request is normal. Just keep it clean:
- Keep the text about their call.
- Don’t add them to a promotions list without asking.
- If they say stop, stop.

Missed calls are only half of it
A missed call text back stops leads from slipping through the cracks. But you still need the calls in the first place, and you need somebody following up on the ones that don’t book right away.
That’s how we run it at Dead River Management. We run the ads on Google and Facebook, build the page, and set up the follow-up, missed call texts included, so every lead gets a fast response. It’s a big part of why we think we’re the best marketing agency in El Paso for service businesses.
We find the people already looking for what you sell. That’s Demand Flow. Then you pick how you pay. The $100K Guarantee: $100,000 in new revenue in 90 days, or you don’t pay us. Or Pay Per Appointment: $250 for every appointment we put on your calendar.
If you’re getting calls from Google’s Local Services Ads, missed calls matter even more. Here’s how Local Services Ads compare to regular Google Ads.
