HVAC LEAD GENERATION: WIN THE JULY CALL AND THE WINTER SLOW SEASON

An HVAC technician checking refrigerant pressure on an outdoor AC unit on a sunny summer day

In short: HVAC lead generation has two jobs. In the summer, win the urgent call by answering first. In the winter, stay busy with maintenance plans, heating work and the replacement quotes you gave months ago. Most HVAC companies don’t need more leads. They need to answer every call and follow up on every quote.

When the AC quits at 4 PM in July, the family isn’t leaving a voicemail. They’re hot, the kids are cranky, and they’re calling down the list until somebody picks up. That’s the most expensive click in the trade, and it books before you hang up, if you’re the one who answered.

Then October comes and the phone goes quiet. Same company, same crew, half the calls.

Where HVAC leads come from

  • Google Ads. “AC repair near me” in July. Turn spend up in heat waves and down when the schedule’s full.
  • Local Services Ads. The Google Guaranteed listings at the very top. You pay per lead, and the trust badge helps. Here’s how they stack up in Local Services Ads vs Google Ads.
  • Your Google Business Profile. Categories set to HVAC contractor, Air conditioning repair service and Heating contractor. Photos of installs. A review ask after every job.
  • Your website. A page for each service: AC repair, AC replacement, heating, maintenance plans, ductwork, mini-splits. Each with financing and click to call.
  • Your customer list. Past customers are the cheapest leads you have. Maintenance plans, tune-up reminders and referral asks.

Summer calls go to whoever answers

You’re on a roof unit at 105 degrees and the phone is in the truck. That’s not a reason to lose the call. It’s a reason to have a backup.

Every missed call in July is a lost job and a wasted ad click.

Replacement quotes wait a year

You quoted a new system. The homeowner said they’d try to get one more summer out of the old one. Nobody followed up. When it finally died, they called whoever answered.

That quote was a warm lead you already paid for. Treat it like one. Every quote gets a text the same day, a call the next, and a reminder a week out. Then put the open ones on a list and check in before the next season starts. A homeowner who said “not this year” in August might say yes in March.

Winter is quiet because nobody planned for it

The slow season is fixable, but you have to start in the busy one.

  • Sell maintenance plans in the summer. Every repair call is a chance to sign them up. Those plans fill your winter schedule with tune-ups.
  • Push heating work in the fall. Furnace checks, heat pump service, before the first cold snap.
  • Work your open quotes. Every replacement quote from the summer is a lead for the winter.
  • Keep the ads on, but smaller. Heating searches still happen. Spend less, but don’t disappear.

I wrote more about this in five habits for a year-round busy season.

Track by booked job

Look at four numbers every week before you raise the budget:

  • Missed calls
  • How fast you call back
  • Booked jobs, by where they came from
  • Replacement quotes still open

A channel that sends fewer leads but more booked jobs is the one to feed. Cost per click and cost per lead don’t pay the bills. Booked jobs do.

Questions

What is the best way to get HVAC leads?
Google Ads and Local Services Ads for urgent repairs, a strong Google Business Profile, service pages that rank, and maintenance plans sold to customers you already have.
How do HVAC companies get leads in the slow season?
Sell maintenance plans in the busy months, push heating work in the fall, and follow up on every replacement quote you gave over the summer.
Why don't my HVAC replacement quotes close?
Most homeowners want one more summer out of the old system. Without follow-up, the install goes to whoever calls when it finally dies.
Should HVAC companies buy shared leads?
You can, but you're racing other companies for the same name. Leads from your own ads and listings come to you alone.
What should HVAC companies track?
Missed calls, how fast you call back, booked jobs by source, and replacement quotes still open. Judge each channel by cost per booked job.
